Grok Bot vs Claude: which is better for running your business admin?
Neither is better at everything. They differ in how a job starts, where it runs, and who in your team can control it. Pick by the job, and keep your systems connected in a way that works in both.
How to get this live in your business
The short answer on Grok Bot vs Claude: use Grok Bot when a job should start from an email or a message and run on its own cloud computer, or when the team wants to share one named Bot. Use Claude when you want a free, read-only look at your Xero file today, work on files on your own computer, or need tighter organisation controls. Both now run a weekly job in the cloud with the laptop shut. Connect your systems with a key that works in both, and the choice of bot stops being a lock-in.
In short
- Grok Bot
- Named Bots, each on an always-on cloud computer with its own browser. Routines run on a schedule or when an email, Slack message or webhook arrives. Teams can share a Bot.
- Claude (and Cowork)
- Chat plus Cowork, now being folded into Claude. Works in folders on your own computer through the desktop app. Scheduled tasks run remotely on any paid plan.
- Xero's own way in
- Claude: Xero's free connector, read-only. Grok Bot: Xero's plugin, needing a custom connection and monthly Xero fee per organisation.
- Your data
- Both offshore by default. Grok Bot computers run in the United States; Anthropic stores commercial data in the US.
- No lock-in
- An Office Voice key works in both. Connect, $19 a month per business: read the book and write notes. Get Paid, $199 a month: adds draft invoices and phone calls.

As each vendor set it out on 30 October 2026. Both ship changes most weeks, so expect the odd label to move. New to the first column? Start with what Grok Bot is.
2. Grok Bot or Claude: which one for which job
Ask what the job is, then pick. Think of the two like a ute and a van: both carry the load, and the right one depends on the run.
| The job | Pick | Why |
|---|---|---|
| “I just want to ask questions about my Xero file” | Claude | Xero’s connector is free, read-only and needs no developer setup |
| “When a remittance or bill lands in the inbox, deal with it” | Grok Bot | Routines start from an email arriving, not only from a clock |
| “Every Monday, give me the debtor list” | Either | Both run a weekly job in the cloud; same key, same prompt |
| “Work through the spreadsheets and PDFs on my computer” | Claude | Cowork works in folders you choose on your own machine |
| “The office should share one admin bot” | Grok Bot | Shared Bots, with each person’s chat kept private |
| “We are a practice and need to control who connects what” | Claude, leaning | On Team, only an Owner adds a custom connector; Grok Bot’s strongest controls are Enterprise only |
What neither changes: the bot is only as safe as the access you give it. Give it a key, never a password. Our guide to whether Grok Bot is safe covers the shared browser in detail.
3. How do Grok Bot and Claude connect to my systems?
Both speak MCP, the common plug that lets an AI use another system’s tools. That is the part that matters: anything with an MCP server can go into either.
- Grok Bot. Ready-made apps such as Gmail, Notion and Slack install from Connect apps. Anything else goes in as a custom MCP server: ask the Bot in chat, or add it under Settings > Plugins. A key goes in the Bot’s secure secret card, never in the chat.
- Claude. Ready-made connectors from the directory. Anything else goes in as a custom connector under Customize > Connectors: choose No sign-in and put the key under Request headers. Anthropic says the header option is still reaching organisations; if you cannot see it, Claude Code takes the key in one line.
For your developer. Show the Claude Code line
claude mcp add --transport http office-voice https://office-voice.com/api/mcp \ --header "Authorization: Bearer <your Office Voice key>"
Grok Bot can also sign into websites in its own browser. That reaches systems with no connector, and it is also the route where people hand over a password. Do not. Our guide to giving a bot access without your password sets out the safer ways.
4. Which is the best AI bot for Xero?
Xero treats the two differently, so start here if Xero is the job.
- Claude:Xero’s own connector is free to add with a Xero subscription and any Claude account. It only reads: Claude can answer questions about cash, invoices and customers and cannot create, edit, approve or pay anything. More in our guide to Claude with Xero.
- Grok Bot:Xero’s plugin under Connect apps asks for a client ID and secret from a custom connection you make on Xero’s developer site, one per organisation, each with a monthly Xero fee. Steps in our Grok Bot and Xero guide.
- Either, with an Office Voice key: one sign-in with Xero, then a key that reads the debtor book, supplier bills and recent invoices, writes draft invoices, quotes and promise-to-pay notes into Xero for you to check, and, with Get Paid, hands over lawful debt calls. It never approves, sends or pays.
So for questions only, Claude with Xero’s free connector is hard to beat. For jobs that have to write something or ring someone, the bot matters less than the key. No connector reconciles the bank in either bot: Xero does not give ordinary apps the unreconciled bank feed lines.
5. Will Grok Bot or Claude run a job when I am not at my desk?
Yes, both. This used to be the clearest difference and it has narrowed.
- Grok Bot:save a working task as a skill, then ask for a routine in plain words, such as “every Monday at 8am Brisbane time”. xAI says routines run in the cloud while your laptop is closed. Routines can also start when an email reaches the Bot, a Slack message arrives or a webhook fires. A new routine waits for its first time; use Test to run it now.
- Claude: describe the task and how often in a conversation, or open Scheduled in Cowork and choose New task. Anthropic says scheduled tasks run remotely, with the computer off, unless the task needs files or apps on your computer. Scheduled tasks need a paid plan.
Our guide to using Grok Bot walks through a first routine, and the Monday debtor call list is a ready weekly job for either bot.
6. Where does my business data go?
Offshore, in both, unless you arrange otherwise.
- Grok Bot:xAI’s security page says Grok Bot computers run in the United States, and a US-only data residency programme is available through the account team. All of one user’s Bots share that computer, its files and its browser sessions, and xAI says not to treat separate Bots as a security boundary.
- Claude: for its commercial products, Anthropic says traffic may be routed to the US, Europe, Asia and Australia, and that data is stored in the US.
For an accounting practice, this is the real decision, not which bot writes better. The Tax Practitioners Board’s July 2026 guidance treats putting client information into an AI tool as a possible disclosure that needs the client’s permission. A narrow key limits what reaches the bot; it does not answer the permission question. Our page on AI bots for Xero practices covers it.
7. Can I control what my team’s bots connect to?
- Grok Bot:on a team plan, the team’s connector policy applies and a blocked app shows “Disabled by team admin”. Shared Bots let you say who can use each Bot, and each member’s chat stays private. An allowlist of MCP servers, the audit log, enforced Auto Review and SCIM are Enterprise only.
- Claude:on Team and Enterprise, only an Owner adds a custom connector for the organisation, and members connect to it. Team adds SSO and connector controls; Enterprise adds SCIM, audit logs and custom data retention. Anyone can set a connector’s tool to Blocked.
One catch in Claude: a key added as a request header is stored with the connector, so on a team plan treat it as the team’s key and make it reach only what the whole team should reach.
8. Grok vs Claude pricing
- Grok Botcomes with Premium, Super and Ultra on The X Subscription, not Plus or Free, and with paid Cursor plans and Cursor Teams. It draws on a weekly usage pool, with extra usage billed if you turn it on. xAI’s docs print no price: check the current price.
- Claude has Free, Pro, Max, Team and Enterprise plans. Connectors come with every plan; scheduled tasks and Cowork need a paid one. Check the current price.
If you already pay for one of them, start there. The cost that matters more is the connection: a monthly Xero fee per organisation for Grok Bot’s Xero plugin, nothing for Claude’s read-only connector, or $19 a month per business for an Office Voice key that works in both ($199 a month with Get Paid if you want calls).
9. One key in both bots, so the choice does not lock you in
Think of the key as a power point, not a plug. Office Voice, our product, connects to Xero once and gives you a key that goes into Grok Bot as a custom MCP server and into Claude as a custom connector. The same prompts work in both. Try one bot, move to the other, or run each for the job it suits; the connection stays put.
- Sign up to Office Voice, click Sign in with Xero, and pick your organisation, or every client if you run a practice.
- Under Keys, make one key per bot and tick only what each job needs: Read the book, Write drafts and notes, and, on Get Paid only, Queue calls. Separate keys mean you can switch one bot off without touching the other.
- Grok Bot: paste the message below and enter the key in the secure secret card. Claude: add a custom connector at https://office-voice.com/api/mcp with the key in the Authorization header, as “Bearer” then the key. Full steps in section 3 of the Grok Bot and Xero guide.
- Ask both the same read-only question and check the answer against Xero’s Aged Receivables report, as in the connection test.
Add a custom MCP server called Office Voice at https://office-voice.com/api/mcp It needs an Authorization header: the word Bearer, a space, then my Office Voice key. Ask me for the key with a secure secret card. Do not ask me to type it in this chat.
Using Office Voice, read only: tell me the total of sent invoices past their due date, and the three customers who owe the most. Do not change anything in Xero and do not contact anyone.
Reading and notes come with Connect at $19 a month per business, which makes no calls. Draft invoices and lawful calls need Get Paid at $199 a month, which includes it. Ready jobs that run the same in both bots:
- Xero debtor call list: who owes you, ranked, with the calls handed to Office Voice.
- Supplier bill check: bills checked against agreed rates before anyone pays.
- Unbilled jobs: finished ServiceM8 jobs with no Xero invoice, drafted for you.
- ServiceM8 quote follow-up: open quotes ranked by value.
10. Questions
Grok Bot vs Claude: which is better for business?
It depends on the job, not on which is smarter. Grok Bot suits jobs that start from an event, such as an email arriving, and jobs that need its own cloud browser, and it lets a team share one named Bot. Claude suits a business that wants a free, read-only way to question its Xero file today, work on files on its own computer, and tighter organisation controls on the Team and Enterprise plans. Both can run a weekly job on a schedule in the cloud, and both take the same Office Voice key for Xero.
Grok Bot vs Claude Cowork: what is the difference?
Both take a job and finish it in several steps. Grok Bot runs each Bot on an always-on cloud computer with its own browser and files, and routines start on a schedule or on events such as an email or a Slack message. Claude Cowork, which Anthropic is folding into Claude itself, runs from the desktop app, can work in folders and apps on your own computer, and its scheduled tasks run remotely unless they need those local files. Cowork is included on Claude's Pro, Max, Team and Enterprise plans.
Grok vs Claude pricing: which costs less?
Neither vendor prices it the same way, so compare what you already pay for. Grok Bot comes with Premium, Super and Ultra on The X Subscription and with paid Cursor plans, and draws on a weekly usage pool. Claude has Free, Pro, Max, Team and Enterprise plans, with connectors on every plan and scheduled tasks on the paid ones. Check the current price on each vendor's own page, as both have changed this year.
What is the best AI bot for Xero?
For asking questions only, Claude with Xero's free connector, which reads and cannot change anything. For jobs that write to Xero or order debt calls, either bot with an Office Voice key: Connect reads the book and writes promise-to-pay notes, and Get Paid adds draft invoices, quotes and debt calls. It never approves, sends or pays. Grok Bot's Xero plugin also works but needs a custom connection and a monthly Xero fee for each organisation. Never give any bot your Xero login.
Can I switch from Grok Bot to Claude later?
Yes, if the connection to your systems does not live inside the bot. An Office Voice key is added to Grok Bot as a custom MCP server and to Claude as a custom connector, so the same key and the same prompts work in both. Switching bots is then a matter of adding the key to the other one and deleting it from the first.
Where does Grok Bot or Claude keep my business data?
Both are offshore by default. xAI's documentation says Grok Bot computers run in the United States. Anthropic says data for its commercial products is stored in the US, with traffic that may be routed to the US, Europe, Asia or Australia. Accounting practices should read the Tax Practitioners Board's July 2026 AI guidance before client data goes into either.
Pick the bot later. Connect Xero now.
Connect Xero to Office Voice with one sign-in and give Grok Bot, Claude or both a key. $19 a month per business; calls come with Get Paid at $199 a month.
