Privacy Policy
Last updated 28 September 2026
This explains what AI Pathway collects, why, who else handles it, and what you can ask us to do about it. It is written to describe what this site actually does rather than to cover every eventuality.
1. Who we are
AI Pathway is a trading name of The Trustee for Four Mile Trust, ABN 48 949 885 135. In this policy “we” and “us” mean that entity.
We are bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy covers aipathway.com.au and the services we provide through it.
2. What we collect, and when
We collect personal information in four situations, and only these:
- When you contact us. The enquiry form asks for your name, email address, phone number, company and message. All five are sent to us and recorded.
- When you use a demo or tool on this site. The AI diagnosis, the agent and standards tools, and the voice demo all process what you type or say in order to answer you. If you talk to the voice demo, that is a phone call and it is handled by our voice provider.
- When you visit any page. Google Analytics records standard web analytics: pages viewed, approximate location, device and browser, and how you arrived. Our host also tells the page your approximate city and country so we can show locally relevant content.
- When we contact you about your business. For business-to-business outreach we collect business contact details that the business has published itself, such as an address on its own website or in a public register. We do not guess or construct email addresses, and we do not buy lists.
We do not collect sensitive information as the Privacy Act defines it, and this site is not directed at children.
3. Why we collect it
- To answer your enquiry and to provide the service you asked for.
- To run the demos and tools on this site.
- To understand which pages are useful, so we can write better ones. This is aggregate, not a profile of you.
- To send business-to-business messages about our services, on the basis of inferred consent under the Spam Act 2003 (Cth), and only to published business addresses.
We do not sell personal information, and we do not share it for anyone else’s advertising.
4. Email, links and unsubscribing
Links in our emails carry campaign tags so we can tell which topics people find worth reading. Where a link identifies the recipient, we use that only to know whether to follow up, and it is covered by everything else in this policy.
Every marketing email we send has a working unsubscribe. Reply with STOP, or tell us in any other words, and we stop. We keep the address on a suppression list afterwards, because that is the only way to make sure a later campaign does not contact you again. That list exists to honour your decision, not to market to you.
5. Who we disclose it to, including overseas
We use third-party providers to run this site and its tools. Using them means your information is handled by them, and several of them store and process information outside Australia, mainly in the United States. We are naming them rather than leaving it vague:
- Vercel (United States) hosts this site and sees request data including IP address.
- Google (United States and elsewhere) provides Analytics, and our enquiry form writes to Google Workspace.
- xAI (United States) processes what you type into the AI tools on this site.
- Vapi (United States) runs the voice demo, including call audio and transcripts.
- Twilio (United States) carries phone and SMS traffic where a page uses it.
We take reasonable steps to ensure these providers handle personal information consistently with the Australian Privacy Principles, but once information is overseas it is also subject to the laws of that country. If you would rather not have your information handled this way, contact us by phone or email instead of using the tools, and say so.
We may also disclose personal information where the law requires it, or to establish or defend a legal claim.
7. Security and how long we keep it
We take reasonable steps to protect personal information from misuse, loss and unauthorised access. No system is perfectly secure and we will not pretend otherwise.
We keep enquiry and contact records for as long as we may need them for the relationship, and for any period the law requires. Suppression and unsubscribe records we keep indefinitely, because deleting them is how people get contacted again by mistake. You can ask us to delete anything else.
8. Access, correction and complaints
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@aipathway.com.au. We will respond within a reasonable time, normally 30 days, and we do not charge for a reasonable request.
If you think we have mishandled your personal information, tell us first and we will investigate. If you are not satisfied with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

10. Changes to this policy
If we change what we collect or who we disclose it to, we update this page and change the date at the top. There is no archive of earlier versions, so if a specific wording matters to you, keep your own copy.
