For any business on Microsoft 365 or Google Workspace
The policy is in someone’s email. The price list is on a laptop. One register, a name on every source, built where your files already are.
A knowledge base to the open standard: everything the business relies on, inventoried on one register with a person against each source, searchable by the page it is on, and watched so the day a document changes its owner is told. On the tenant you already pay for. No new system, and no monthly fee, because nothing of ours runs afterwards.
$500, credited in full if we build.
One row on the register
Instrument
A duplicate on the old drive points at this row. The client interview in the same folder is registered separately, restricted, and not in the shared search.
The problems this is for
If four of these are true, the business is running on material nobody owns.
- The current policy is an attachment in somebody's email, and they are on leave.
- There are two copies of the procedures manual and nobody is sure which one is right.
- The price list everyone quotes from is a spreadsheet on one laptop.
- The legislation changed in March and the copy on the drive is from before that.
- A new starter spends the first fortnight asking where things are.
- A client's file is sitting in the same folder as the policy, and the search finds both.
- Somebody bought an AI knowledge base and it confidently answers from the old edition.
- Nobody's name is on anything, so when a source moves, nobody is asked.
No new system
Built on the drive you already have
The register is a list on your Microsoft 365 or Google Workspace tenant. The files stay where they are. Nothing is migrated, nothing is copied out to a database of ours.
The part that matters
A person's name on every source
Every policy, price list, template, contract and instrument the business relies on, on one register, with an owner who is asked when it moves. A team name is not an owner.
The part nobody demos
It notices when something changes
A scheduled watch re-fetches every source, compares it, marks the old copy superseded and tells the owner the same day. The register stays a register, not a photograph of the drive.
What exists after the build
- One register, one row per source: what it is, where it lives, who owns it, which edition, when it was last checked.
- Two copies of the same thing resolved to one, with the other marked as a duplicate.
- Client files and interviews registered as customer material with an access list, kept out of the shared search.
- A search that returns the passage and where it is, so a person opens the right page. It does not write answers; that is a later step, built on this one.
- A list of the sources you rely on and do not have, each with an owner and a date.
- A watch that runs whether or not anything changed, and a message to the owner when it did.
What it costs
Two doors. The method is free and the build is scoped. There is no third door with a monthly fee, because nothing of ours runs on your tenant once it is built.
Free
Build it yourself
The Knowledge Base standard: the six kinds of source, the register, the checks in order, the watch, and a pass test you run on your own drive. It names the SharePoint list, the Sheet, the flow and the script. Hand the page to a coding agent with the first message already written.
Open the standard →Scoped build
Have it built on your tenant
The audit sizes it: how many sources, how many owners, which tenant. Then a fixed scope at the published rate, $240 per hour, or $1,800 a day, ex GST. The long part is finding the sources and getting a person to own each one, and we say so up front rather than on the invoice.
See the rates →What stays with you
- Owning a source, and answering for it when it moves or goes missing.
- Deciding which of two copies is the real one.
- Deciding who may read client material, and for how long it is kept.
- Whether the business goes on to build the graph and the assistant on top. This page does not sell those; it makes them possible.
Everything your business relies on, in one place, with a name on it. Thirty minutes to size it.
